Once transfers are in motion, Signal helps you manage both sides — receiving records for students arriving at your school, and tracking the status of records you have sent to other schools.

Receiving incoming transfers

When another school sends safeguarding records for a student transferring to your school, a notification appears on your dashboard.

Open the incoming transfer

Go to the Transfers page or click the notification on your dashboard. You will see the transfer details, including which school sent it and the student it relates to.

Review the contents

Examine the incidents, documents, and context included in the transfer. Take time to read through the records so you have a full understanding of the student’s safeguarding history.

Accept the transfer

When you are satisfied with the contents, accept the transfer. The records are imported into your school’s system and linked to the student’s profile.
Once accepted, the transferred incidents and documents appear on the student’s timeline alongside any new records you create. The student’s safeguarding history travels with them.

Tracking outgoing transfers

After you send a transfer, you can track its status on the Transfers page. Each transfer displays one of the following statuses:
  • Pending — the transfer has been sent but not yet opened by the receiving school
  • Viewed — the receiving school has opened the transfer
  • Accepted — the receiving school has accepted the records
  • Rejected — the receiving school has rejected the transfer
  • Failed — the transfer could not be delivered

Resending notifications

If a transfer is still pending and the receiving school has not responded, you can resend the notification email. Click the actions menu on any pending transfer and select Resend Notification. A dialog appears with the current email address prepopulated. You can edit the email before sending — useful if the original contact has changed or you need to redirect to a different person at the school.
If you need to change the email for all pending transfers to a school, edit the establishment’s email in your directory instead. This automatically updates every pending transfer linked to that establishment.

Establishments directory

Establishments are the schools and settings — nurseries, primary schools, secondary schools, pupil referral units, and other educational provisions — that your school sends transfers to or receives them from.

What establishments are for

Your establishments directory saves you time when creating transfers. Instead of entering details each time, you select from your saved list. Over time, your directory builds up to include all the schools you regularly work with.

Managing your directory

Go to Settings > Transfers and click Manage additional establishments to open your directory.

Add a new establishment

Click Add Establishment. You can search for a school to prepopulate the name and lock the email domain — then enter the specific contact’s email address. Alternatively, enter the name and email manually.

Edit an establishment

Click the edit button on an existing establishment to update its name or email address. If you change the email, all pending transfers linked to that establishment are automatically updated to use the new address.

Remove an establishment

If you no longer need a school in your directory, you can remove it. This does not affect any transfers that have already been sent or received.
Add the schools you most commonly transfer to — feeder primaries, local secondaries, and nearby PRUs — so they are ready when you need them.
